This Privacy Policy explains how Solkarra (“we”, “us”, “our”) collects, uses, discloses and protects your personal information when you use the Primal Archery mobile app and its related online services (together, the “App”).
The App is developed and published by Solkarra and is operated for Primal Archery (the “Park”), an archery facility located in Western Australia. Some information you provide through the App, such as liability waivers, check‑ins, memberships and competition entries, is shared with and used by the Park to run its activities.
We are committed to handling your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
By creating an account or using the App, you agree to this Policy. If you do not agree, please do not use the App.

2. Information we collect
We only collect information we need to run the App and the Park’s activities. The categories below reflect exactly what the App handles.
2.1 Account and profile information
- Email address and password (your password is stored only in a securely hashed form; we never store it in plain text).
- Display name / name.
- Optional leaderboard profile: nickname, gender, and date of birth. Gender and date of birth are used solely to place your scores in the correct leaderboard division (gender × age bracket). You can leave these blank, but your rounds will not be ranked until a division is known.
2.2 Liability waiver information
Before shooting, you (or a parent/guardian on behalf of a dependent) complete a liability waiver. We collect:
- First name, last name, email address and postcode.
- Your digital signature and a record of the acknowledgements you agreed to.
- Your photography/media consent choice and marketing opt‑in choice.
- The date and time signed, and (for record integrity and fraud prevention) the IP address and device/browser information (user agent) used to sign.
- For dependents you sign for: their first name, last name, date of birth and gender.
Waivers are legal risk‑management records. Because they may be needed to establish what was agreed in the event of an incident or claim, waivers are retained even if you delete your account (see Section 11).
2.3 Activity and scoring data
- Archery rounds and individual arrow scores, including the on‑target tap position where you use tap‑to‑score.
- Practice sessions, “Hunting Grounds” 3D sessions, and lost‑arrow reports.
- Competition (“Money Shoot”) entries and scores.
- When you add another shooter to your round, or a guest is checked in, the name entered for that person.
2.4 Check‑in, visit and loyalty data
- Check‑ins at the Park (including via QR code), the course and equipment options selected, and check‑in/check‑out times.
- Visit records and “Rematch” loyalty codes, including an estimated spend figure the Park uses to run the loyalty program.
2.5 Membership and competition records
- Membership plan, start/expiry dates, price, and (for duo plans) the linked partner account.
- Competition entry records, including whether an entry fee has been marked paid.
Payments: The App does not collect or process credit card, bank or other financial account details. Membership fees, competition entry fees and Park entry are paid in person at the Park. The App only records a staff‑set “paid” status and the price for the Park’s own records.
2.6 Social features
- Friend requests and connections you create with other users.
2.7 Device, technical and notification data
- A secure app session token (stored only as a hash on our servers) used to keep you signed in.
- If you enable push notifications, a device push token and your notification preferences, plus the device platform (iOS/Android/web).
- Basic technical information necessary to deliver and secure the service (e.g. IP address and device/browser type at certain events such as signing a waiver).
2.8 Information about other people
If you enter another person’s details (for example, adding a co‑shooter to a round or signing a waiver for a dependent), you confirm you are authorised to provide that information and to agree to this Policy on their behalf.
3. How we collect your information
- Directly from you: when you register, complete your profile, sign a waiver, score rounds, check in, enter competitions, or contact us.
- Automatically: when you use the App (e.g. session tokens, push tokens, and limited technical data).
- From Park staff: when staff check you in, record a membership, or mark a competition entry as paid on your behalf.
4. How we use your information
We use your information to:
- Create and manage your account and profile.
- Provide the App’s core features: scoring, practice, Hunting Grounds, competitions, history and leaderboards.
- Record and administer liability waivers and safety compliance (including lost‑arrow tracking so staff can issue replacement arrows).
- Manage Park check‑ins, memberships, competition entries and the loyalty/rematch program.
- Send you push notifications you have opted into (e.g. competition and activity updates). You can turn these off at any time (see Section 8).
- Maintain the security and integrity of the App and prevent fraud or misuse.
- Comply with our legal obligations and manage legal claims.
We do not sell your personal information, and we do not use it for third‑party advertising.
5. Public leaderboards
If you complete your leaderboard profile, your finished rounds may appear on leaderboards visible to other App users. Leaderboards can show your nickname (or name), your division (gender × age bracket), and your scores. If you do not want to appear on leaderboards, leave your gender and date of birth blank; your rounds will still be saved for your own history but will not be ranked publicly.
6. Who we disclose information to
We disclose personal information only as needed to run the App and the Park:
- Primal Archery (the Park operator): waivers, check‑ins, memberships, competition entries, loyalty records and related activity, so the Park can run its operations and meet its safety and record‑keeping obligations.
- Our hosting and infrastructure provider: the App’s data is stored on the WordPress‑based backend that powers the service.
- Push notification providers: if you enable notifications, delivery is handled by Apple Push Notification service (APNs) and/or Google Firebase Cloud Messaging (FCM).
- App distribution platforms: Apple and Google, in accordance with their own terms, when you download and run the App.
- Professional advisers, insurers or authorities: where reasonably necessary to manage a claim, meet a legal obligation, or respond to a lawful request.
We do not otherwise disclose your personal information without your consent, unless required or permitted by law.
7. Third‑party services
The App relies on the third parties named above (our hosting provider, Apple and Google). These providers handle data under their own privacy policies. We encourage you to review Apple’s and Google’s privacy policies for how they process data on their platforms.
8. Push notifications
Push notifications are optional. You can grant or revoke notification permission at any time in your device settings, and manage topic preferences in the App. Revoking permission stops future notifications; we may retain your notification preferences until you delete your account.
9. Data security
We take reasonable steps to protect your information, including:
- Encrypted connections (HTTPS/TLS) for all data in transit.
- Passwords stored only as secure hashes; app session tokens stored only as hashes.
- Access controls limiting who can view Park and member records.
No method of transmission or storage is completely secure. While we work to protect your information, we cannot guarantee absolute security.
10. Where your information is stored
Your information is stored on the App’s backend hosting. [Specify the hosting location/region, for example “servers located in Australia”.] If any information is stored or processed outside Australia (for example, push notification delivery via Apple or Google), we take reasonable steps to ensure it is handled consistently with the APPs.
11. Data retention and account deletion
We keep your information for as long as your account is active and for as long as needed to provide the App, meet legal and safety obligations, and resolve disputes.
Deleting your account. You can delete your account at any time from the App (Account → Danger Zone). Deletion re‑verifies your password and then anonymises your record: your identifying details (email, display name, profile information) are scrubbed, free‑text names on activity records are removed, your memberships are cancelled, and your friend connections, push tokens and app sessions are deleted.
What is retained after deletion. For legal and safety reasons, we retain your signed liability waiver, but detach it from your account so it is no longer linked to a live profile. Aggregate and historical activity/score records are kept in anonymised form (no longer linked to your identity). This lets the Park maintain safety and business records while removing your personal identity from the system.
12. Your privacy rights
Subject to the Privacy Act, you may:
- Access the personal information we hold about you.
- Correct information that is inaccurate or out of date (you can update most profile details directly in the App).
- Delete your account and anonymise your data (see Section 11).
- Opt out of marketing, photography/media consent, and push notifications.
To make an access or correction request, contact us using the details in Section 1. We may need to verify your identity before acting on a request.
13. Children’s privacy
The Park welcomes younger participants, and children may be scored and appear in junior leaderboard brackets. Where a participant is a minor, their information (and their waiver) must be provided and consented to by a parent or guardian. If you believe a child’s information has been provided without appropriate consent, contact us and we will address it.
14. Changes to this Policy
We may update this Policy from time to time. We will post the updated version here and change the “Last updated” date. Significant changes may also be notified in the App. Continued use of the App after an update means you accept the revised Policy.
15. Complaints
If you believe we have mishandled your personal information, please contact us first using the details in Section 1 so we can try to resolve it. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or 1300 363 992.
